Position Summary

Responsible for receptionist duties; office support; database and file maintenance.

Required Qualifications

High school diploma or GED. Two years of qualifying experience or a combination of education and experience that equates to two years. Experience with Microsoft Word. Customer service experience. Organizational skills with strong attention to detail. Demonstrated positive interpersonal skills. Effective verbal and written communication skills. Ability to project a positive attitude. Ability to manage multiple projects and meet deadlines with accurate results. Ability to compose, proofread and edit correspondence. Ability to perform the essential functions of the job.

Duties & Responsibilities

Receptionist duties, including greeting guests and answering phone. First line of contact for students and guests with issues or questions. Assists students with course registration questions/concerns. Prepares routine bump card requests in consultation with faculty members. Prepares faculty classroom materials, research, correspondence and other computer work. Assist with coordinating work flow and oversee work of student office assistants. Textbook orders, including ordering desk copies and tracking desk copy receipt. Copier, fax machine, network printer, scanner oversight, service calls, clearing paper jams. Assist faculty/student office assistants with operation. Oversight of workroom including stocking of supplies and maintenance/upkeep. Prepare faculty office hours directory and office hour door cards for faculty office doors. Prepare student opinion survey materials, access and distribute reports, maintain SOS supplies. Access electronic student records as needed. Maintain/update departmental flyers and handouts. Maintain major/minor student files and all associated paperwork. Maintain departmental major and minor database. Prepare/distribute electronic communications to majors/minors. Prepare outgoing mail. Distribute incoming mail. May assist with routine changes to departmental website. Track faculty telephone and copier charges. Prepare communications to alumni, including department newsletter once implemented. Assist faculty with utilization of OFIS. Run OFIS reports as needed. Word processing/proofreading of year-end report, and other reports as assigned. Serve as support for Executive Secretary, assisting on any projects as requested. Other duties as assigned.
