SUMMARY:The Senior Executive Assistant Performs executive support tasks which may be highly confidential and sensitive in nature utilizing extensive independent judgment. Assists, participates and implements department activities and communications, internally and externally. Oversees operational functions including coordination of executive deliverables, annual department strategy and process development.Performs high-level administrative work, including organizing, scheduling, coordinating, researching, compiling, exchanging, and analyzing information for executive(s) and department.RESPONSIBILITIES/TASKS: * Uses independent judgment to coordinate office activities for the executive(s). Prioritizes and follows up on deliverables to and from executive(s). Updates executive(s) on current issues as necessary. * Participates in the planning, development, and implementation of department goals and initiatives. Prepares presentations as needed. * Researches, compiles, assimilate and prepare documents. Briefs executive(s) regarding content. * Reads and screens all incoming correspondence and reports, handles or forwards as appropriate. * Composes and edits correspondence in response to incoming mail, calls, and other situations dictated by job responsibilities. * Coordinates the development, monitoring and reporting of department deliverables * Prepares agenda and collects and distributes materials for meetings and conferences. Transcribes minutes and keeps records of proceedings as required. * Coordinates and facilitates executive's calendar(s) to arrange appointments, meetings, and conferences. * Participates in annual strategy and budget planning, development, and monitoring for the department * Directs services, such as maintenance, repair, replenishing supplies, and files. * Assist department leadership in maintaining staff by orienting and training employees. * Makes domestic and foreign travel arrangements for executive(s) and department. Prepares and compiles travel vouchers and maintains all travel records. * Coordinates business meetings across multiple companies and departments foreign and domestic. * Develops, compiles, and maintains various filing systems and informational databases and generates reports as requested or as scheduled. * Maintains confidentiality of information processed as appropriate. * Assist the President of EM on an as needed basis, sometimes on short notice. * Acts as the Corporate Functions Annual Compliance Training liaison and prepare correspondence when escalation is needed. * Works with minimum supervision and exercises sufficient discretion and independent judgment. * Manages multiple priorities and deadlines. * Monitors status of deliverables assigned to executive's direct reports. Provides feedback or clarification as needed. * Receives and screens incoming calls and visitors and determines which matters are priorities. Refers to appropriate executive staff or provides necessary information. * Coordinates and facilitates the President's calendar to arrange appointments, meetings, and conferences as needed * Briefs CEO regarding contents of documents as needed. EMPLOYMENT QUALIFICATIONS:EDUCATION:Associates degree in Business Administration or a related field.
